Asoula
Booking, Cancellation & Refund Policy
Last Updated: October 2026
This policy explains how bookings, payments, cancellations and refunds work for Asoula retreats, coaching packages and digital products. It forms part of our Terms of Service. Please read it carefully before making a payment. Nothing in this policy affects your statutory rights.
Part A
Retreat Booking & Cancellation Policy
1. Booking and Deposits
To reserve your place on an Asoula retreat, a deposit of £500 per person is required. The remaining balance can be paid in full or through an agreed payment plan (see Section 3).
When your booking is confirmed
Your booking is confirmed once we have received your deposit and sent you a written booking confirmation by email. Your confirmation will include the retreat dates, what is included in your package, your payment schedule and a copy of this policy. Please check it carefully and let us know straight away if anything is incorrect.
Our 48-Hour Refund Promise
If you change your mind within 48 hours of making an eligible advance booking, you can cancel and receive a full refund of everything you have paid. No reason is needed.
An eligible advance booking is a booking made at least 30 calendar days before departure. In this policy, "departure" means the start date of your retreat.
For bookings made fewer than 30 calendar days before departure, the 48-hour refund promise does not apply, because accommodation and suppliers are already committed. In that case, the cancellation charges in Section 2 apply from the moment your booking is confirmed. We will tell you clearly before you pay if your booking falls into this category.
After 48 hours
After the 48-hour period, reasonable cancellation charges may apply, as set out in Section 2. Your deposit does not automatically become non-refundable: any charge will reflect our reasonable and justifiable losses.
Booking terms
When you book, you will be asked to confirm that you have read and agree to this policy. The person making the booking must be 18 or over and is responsible for ensuring that the information provided for every guest on the booking is accurate.
2. Cancellation by Guests
You may cancel your retreat booking at any time before the retreat begins. To cancel, please email us at hello@asoula.co.uk with your name, the retreat dates and your booking reference. Your cancellation takes effect on the date we receive your email, and we will confirm it in writing.
How cancellation charges are calculated
Cancellation charges are not a penalty. They reflect the reasonable, justifiable losses we cannot recover when a place is cancelled. Retreat accommodation is usually paid for in full to the venue well in advance, and these payments generally cannot be cancelled or refunded to us. Other commitments, such as catering, activities and facilitators, are also made on your behalf ahead of the retreat.
Because these costs vary from retreat to retreat and change as departure gets closer, cancellation charges are calculated individually for each cancellation, based on when we receive it:
| When we receive your cancellation | Cancellation charge |
|---|---|
| Within 48 hours of an eligible advance booking | None: full refund |
| 91 or more days before departure | Calculated individually |
| 57 to 90 days before departure | Calculated individually |
| 29 to 56 days before departure | Calculated individually |
| 0 to 28 days before departure | Calculated individually |
In each case, the charge will be worked out from:
- the supplier commitments already made for your place, including accommodation paid in advance that cannot be recovered;
- any costs we save as a result of your cancellation; and
- whether your place can be resold to another guest.
As a general guide, the closer to departure you cancel, the fewer costs we are able to recover, so charges are likely to be higher in the later bands.
Costs saved and places resold
- We will only keep what is needed to cover our reasonable, justifiable losses.
- We will deduct any costs we save as a result of your cancellation, such as meals, activities or supplier costs we no longer have to pay.
- If we are able to fill your place with another guest, we will reduce your cancellation charge accordingly, leaving only any reasonable administration costs we have actually incurred.
- When we confirm your cancellation, we will tell you the charge, and on request we will give you a written explanation of how it has been calculated.
Cancellation charges are applied to the amount you have paid. If the amount you have already paid is more than the charge, we will refund the difference. If it is less, we will not ask you to pay more than the charge that applies.
3. Payment Plans
Where a payment plan is offered, your remaining balance can be spread across agreed instalments after your £500 deposit. Your payment schedule, including the amount and due date of each instalment, will be set out in your booking confirmation.
- Deposit: £500 per person, paid at the time of booking.
- Final balance: the full retreat price must be paid no later than 8 weeks (56 days) before departure.
- Late bookings: if you book within 8 weeks (56 days) of departure, the full retreat price is payable at the time of booking.
- Automatic payments: where instalments are taken automatically from your card, you are responsible for keeping your payment details up to date.
- Paying early: you can pay off your outstanding balance at any time without any extra charge.
If a payment is missed
- We will contact you by email to let you know the payment has not been received.
- You will then have 7 days to make the payment or agree an alternative arrangement with us.
- If the payment is still outstanding after that period, we may treat your booking as cancelled by you. We will tell you in writing before we do so, and the cancellation charges in Section 2 will apply, based on the date of cancellation.
If you are having difficulty keeping up with payments, please speak to us as early as possible. We will always try to find a fair solution.
4. Transfers to Another Guest
If you are unable to attend, you have the right to transfer your booking to another person who meets all the conditions that apply to the retreat.
- You must tell us in writing at least 7 days before the retreat start date, giving the new guest's full name and contact details.
- The new guest must agree to this policy and our Terms of Service, and complete any guest information or wellbeing forms we require.
- You and the new guest are jointly responsible for paying any outstanding balance and any reasonable transfer costs.
- Transfer costs will be limited to the actual costs we incur as a result of the transfer (for example, a supplier's name-change fee). We will tell you what these are and provide evidence of them on request.
Transferring your booking does not count as a cancellation, so no cancellation charges apply.
5. Cancellation or Changes by Asoula
Minor changes
Occasionally we may need to make small changes to a retreat, such as adjusting the order of sessions or replacing an activity with one of a similar standard. We will tell you about any such change as soon as reasonably possible.
Significant changes
If, before the retreat begins, we need to make a significant change to its main features (for example, the dates, location, or standard of accommodation), or we cannot meet a special requirement we have accepted, we will tell you without undue delay and offer you the choice to:
- accept the change, with an appropriate price reduction if the change lowers the quality or cost of the retreat;
- accept an alternative retreat of equivalent or higher quality, where we are able to offer one; or
- cancel your booking and receive a full refund of all payments made, with no cancellation charge.
We will tell you how long you have to make your choice. If you do not respond within that time, we will tell you what will happen next in our notice to you.
Price changes
The total price of your ASOULA Retreat will be confirmed in writing at the time of booking. Once your booking has been confirmed, ASOULA will not increase the agreed retreat price. The confirmed price will remain unchanged regardless of subsequent increases in accommodation costs, supplier charges or currency exchange rates. Prices advertised for future bookings may change without notice. However, these changes will not affect guests who have already received booking confirmation. Any additional services, upgrades or experiences requested by a guest after booking may incur separate charges, which will be explained and agreed before purchase. Any reductions, refunds or other adjustments required by applicable law will remain unaffected.
If we cancel a retreat
If we cancel a retreat for any reason, you will receive a full refund of all payments you have made for your retreat package within 14 days of cancellation. This does not affect any further legal rights you may have, including any right to compensation where the law provides for it.
No compensation is payable where:
- the minimum number of guests stated in the retreat information has not been reached and we notify you within the legal deadlines: at least 20 days before the start for retreats lasting more than 6 days, 7 days before for retreats of 2 to 6 days, and 48 hours before for retreats of less than 2 days; or
- we are prevented from running the retreat by unavoidable and extraordinary circumstances, and we notify you without undue delay before the start of the retreat.
In both cases, you will still receive a full refund of all payments made.
6. Exceptional Circumstances
You can cancel your retreat before it begins without paying any cancellation charge, and receive a full refund, if unavoidable and extraordinary circumstances at or near the retreat destination significantly affect the retreat or your travel to it.
Examples may include war or civil unrest, a natural disaster, a serious outbreak of disease, or official government advice against travel to the destination. Whether this right applies is assessed objectively, based on the circumstances at the destination at the time.
Personal circumstances, such as illness, work commitments or changes in personal plans, are not covered by this right. These situations are dealt with under Section 2. For this reason we strongly recommend that you take out comprehensive travel insurance, including cancellation cover, as soon as you book.
Assistance during the retreat
If you experience difficulties during a retreat, including where unavoidable and extraordinary circumstances arise, we will provide appropriate assistance without undue delay.
7. Refunds
How to request a refund
Email hello@asoula.co.uk with your name, booking reference and the reason for your request. We will acknowledge your request within 7 working days.
How refunds are calculated
- 48-hour refund promise, cancellation by Asoula, or exceptional circumstances: a full refund of all payments made for your retreat package.
- Cancellation by you: the total amount you have paid, less the cancellation charge that applies under Section 2. We will send you a written breakdown.
When you will receive your refund
Refunds will be paid without undue delay and no later than 14 days after your cancellation takes effect. Refunds are made to the original payment method. Depending on your bank, it can take a few further working days for the funds to appear in your account.
Any refund relating to services booked separately with third parties, such as flights you have arranged yourself, must be claimed directly from that provider.
8. Financial Protection
Where the Package Travel and Linked Travel Arrangements Regulations 2018 apply, the money you pay us for your retreat package is protected in the event of our insolvency.
If Asoula becomes insolvent, you will receive a refund of payments made for any part of your retreat that has not been provided.
9. Your Package Travel Rights
Where your retreat combines accommodation with other travel services as a package, you will benefit from all the rights under the Package Travel and Linked Travel Arrangements Regulations 2018. Asoula will be fully responsible for the proper performance of the package as a whole.
In summary, your key rights include:
- You will receive all essential information about the retreat before you book.
- You may transfer your booking to another person, on reasonable notice and possibly subject to additional costs (see Section 4).
- Once your booking has been confirmed, ASOULA will not increase the agreed retreat price.
- You may cancel without paying a cancellation charge, with a full refund, if any of the essential elements of the package (other than the price) are significantly changed, or if we cancel before the start of the retreat.
- You may cancel without paying a cancellation charge in exceptional circumstances, such as serious security problems at the destination (see Section 6).
- You may cancel at any time before the start of the retreat on payment of an appropriate and justifiable cancellation charge (see Section 2).
- We must provide assistance if you are in difficulty.
- If Asoula becomes insolvent, your payments will be refunded (see Section 8).
The full Regulations are available at legislation.gov.uk.
Part B
Coaching Packages
1. Before Your Package Starts
Every paid coaching package (including Single, Starter, Depth and Transformation packages) begins with a clarity call to confirm that the package is the right fit for you.
If you buy a coaching package online or by phone, you have the right to cancel within 14 days of purchase and receive a full refund. If you ask us to begin your sessions within that 14-day period and then cancel, we will refund what you have paid, less a proportionate amount for any sessions already delivered.
After the 14-day period, refund requests made before your package starts are reviewed on a case-by-case basis.
2. After Your Package Starts
Because coaching time is reserved and personalised for you, fees for sessions that have already been delivered are non-refundable. Requests for a refund of sessions not yet delivered are considered on a case-by-case basis.
If we are unable to deliver any part of your package, you will receive a refund for the sessions not delivered.
3. Rescheduling and Missed Sessions
- Sessions can be rescheduled with at least 24 hours' notice.
- Sessions missed, or cancelled with less than 24 hours' notice, may be treated as delivered.
4. Coaching Payment Plans
Where a payment plan is offered, instalments are due on the dates set out at purchase. If an instalment is missed, we will contact you first. If it remains unpaid, coaching sessions may be paused until your account is brought up to date. Any amounts already due remain payable.
Part C
Digital Products
Downloads and Online Content
For digital products such as downloadable resources or online courses, you normally have 14 days from purchase to cancel and receive a full refund.
If you choose to access or download the content within those 14 days, we will ask you at checkout to agree to immediate access and to acknowledge that you will lose your right to cancel once access begins. Once you have given that agreement and accessed the content, the purchase is non-refundable, unless the product is faulty or not as described.
If a digital product is faulty or not as described, please contact us and we will repair or replace it, or provide a refund where that is not possible.
